Radiotherapy Physics small scope – Treatment Planning and QC activities for external beam radiation

Clinical Engineering – Medical Equipment Management (2 groups of devices and associated medical device library) - It is recommended that a Clinical Engineering department apply for accreditation to cover 2 groups devices initially along with medical device library and then extend scope to include other groups over a 4 year cycle.

Please note that costings will not be double if a trust wanted to apply for both Radiotherapy Physics and Clinical Engineering activities which are controlled under the same management system.

 

Registration Fee : £1500

The registration fee will enable a MPACE service to gain access to a range of training material to assist them through the application process. A service will have access to this material for 2 years and will be required to progress to initial assessment within this period. If no progress is made after 2 years then another registration fee will be applied.

 

Pre-Assessment (Optional)

A Service may request a pre-assessment visit to enable UKAS to provide feedback on progress of the Service in implementing the requirements of BS 70000. The pre-assessment is typically 1 day visit and will look to identify any major gaps which would prevent a positive recommendation being made at the initial assessment.

Office Effort: £1389 – 1.5 man days (includes review of quality manual or equivalent management system documentation and associated technical documents, preparation of reports and associated assessment paperwork)

Site Effort: £1838 – 2.0 man days (includes Lead Assessor and Peer/Technical Assessor on site for one day each to discuss the application with the customer, review implementation of the requirements of the standard and identify any significant gaps in customer interpretation or implementation of the standard requirements)

Expenses - £416 (flat rate of £208 per assessor per site day)

Total Pre-Assessment Costs : £3643

 

Initial Assessment

Office Effort: £1838 – 2 man days (includes review of quality manual and associated technical documents, preparation of reports and associated assessment paperwork)

Site Effort: £4135 – 4.5 man days (includes Lead Assessor and Technical Assessor on site for one and a half and three days respectively to conduct full assessment of all activities applied for)

Close Out Effort: £919 – 1 man days (review of single submission of evidence to clear findings raised at the initial assessment)

Expenses - £936 (flat rate of £208 per assessor per site day)

Total Initial Assessment Cost: £7803

 

Following clearance of any non-conformities raised at the initial assessment, accreditation is granted for a period of 4 years in which there will be 3 Surveillance Assessments and 1 Reassessment conducted approximately every 12 months, with the first assessment taking place 6 months after the date of grant of accreditation.

 

Surveillance Assessment (Years 1-3)

Office Effort: £1378 – 1.5 man days (includes review of customer documentation relevant to the surveillance visit, preparation of reports and associated assessment paperwork)

Site Effort: £2757 – 3.0 man days (includes Lead Assessor and Technical Assessors on site for one and two days respectively to conduct a sampling assessment of a selection of activities for which accreditation is held)

Close Out Effort: £689 – 0.75 man days (review of single submission of evidence to clear findings raised at the Surveillance assessment)

Expenses - £624 (flat rate of £208 per assessor per site day)

Total Costs Per Year: £5448

 

Reassessment (Year 4)

Office Effort: £1838 – 2 man days (includes review of quality manual and associated technical documents, preparation of reports and associated assessment paperwork)

Site Effort: £3676 – 4 man days (includes Lead Assessor and Technical Assessor on site for one and a half and 2.5 days respectively to conduct full assessment of all activities for which accreditation is held)

Close Out Effort: £689 – 0.75 man days (review of single submission of evidence to clear findings raised at the reassessment)

Expenses - £832 (flat rate of £208 per assessor per site day)

Total Reassessment Cost: £7035

 

Costs for First 4-6 Years

To illustrate a potential breakdown of costs from application to re-assessment the following is provided for an organisation who applies in April 2020, decided to have a pre-assessment in January 2021 with initial assessment in May 2021. Please note that it can take 6 months from initial assessment to grant and then 6 months after that to have first annual surveillance visit.

2020/2021 - £1500 + optional £3643 (PA costs)

2021/2022 - £7803 (Initial Assessment)

2022/2023 - £5448 (Surveillance visit 1)

2023/2024 - £5448 (Surveillance visit 2)

2024/2025 - £5448 (Surveillance visit 3)

2025/2026 - £7035 (Re-assessment)

 

Case Study Assumptions:

  • Costs are based on the 2019/20 price list and are exclusive of VAT. UKAS reviews pricing on an annual basis and the day rate may increase for subsequent years.
  • A normal level of compliance is observed at the organisation, where additional issues are identified, extra assessment or additional close out effort may be required.
